Cancellation Policy
At Helium Coaching, we are committed to providing a flexible, respectful, and impactful coaching experience. To ensure fairness and consistency for all participants and coaches, we’ve established the following cancellation policy for both individual and company-sponsored programs. This policy helps us manage scheduling effectively while supporting the well-being of everyone involved.
For Individual Coaching Participants
Coaching sessions can be canceled or rescheduled anytime through the Coach Accountable platform.
- Cancellations made 24 hours or more in advance will not count against your session total and may be rescheduled without penalty.
- You are allowed one (1) late cancellation or no-show per calendar quarter at no penalty. This gives you up to four per year.
- A late cancellation is defined as canceling a session less than 24 hours before the scheduled time.
- A no-show is defined as missing a session without notice.
- After the one late cancellation/no-show per quarter, any additional missed or late-canceled sessions during that quarter will be counted as used and will not be eligible for rescheduling or refund (if applicable).
Emergencies and Exceptions
We understand life is unpredictable. If you experience an emergency or unavoidable conflict, please contact your coach or the Helium team. We handle exceptions with care and common sense.
For Company-Sponsored Participants
- Participants in employer-sponsored programs can manage sessions directly via Coach Accountable.
- Sessions canceled 24 hours or more in advance may be rescheduled without penalty.
- Each participant is allowed one (1) late cancellation or no-show per calendar quarter—up to four per year.
- Additional late cancellations or no-shows within the same quarter will be considered used sessions and may be deducted from the individual or organization’s session allowance.
- Excessive no-shows may be reported to your company’s program administrator for awareness and support (never with coaching content).
